1. Reservation of facilities, services, and products 
a) Facility reservations are to be addressed in writing to Pavilhão Atlântico’s Sales Division, and applications shall supply all pertinent details on the envisaged event (namely envisaged dates, description of the type of event and respective features, duration, services required, and contact persons).
b) Pavilhão Atlântico’s Sales Division will compile and forward a quote for the services required, for which purpose it might need to request additional information from clients.
c) The aforementioned quote shall be valid for the applicable term, as indicated on the quote, and eventual negotiations for rental of the facility shall take place during such terms of validity.
d) Reservations shall only become effective upon settlement of a deposit of 20% of the value of the quote.
e) The remainder of the rental cost shall be paid as follows:
— 50% within a term of 30 days prior to the start of the event’s assembling stage;
— 30% within a term of 5 days prior to the start of the event’s assembling stage.
f) The Client shall not be entitled to cede its rental rights over the contracted dates to third parties, nor to replace the envisaged event for another without the prior approval of Pavilhão Atlântico.
g) Should the event be cancelled subsequent to the issue of a Confirmation of Reservation, the Client shall remain liable for payment of all amounts due under the Terms and Conditions of Reservation on due date, as well as for refunding Pavilhão Atlântico for all expenses it might already have incurred on account of the aforementioned Reservation.
2. Supervision

a) Pavilhão Atlântico shall supervise all areas of the venue under its management and shall be entitled to issue all necessary regulations to ensure its maintenance in a condition of safety, comfort, and hygiene.
b) Pavilhão Atlântico shall be granted access by the Client to all rented areas of the venue as and when required.
c) Compliance with the aforementioned safety, comfort, and hygiene regulations is mandatory for all clients renting facilities and for all event spectators or attendees.
3. Pavilhão Atlântico Services
a) Quotes are inclusive of the provision of cleaning services, attendant services, regular security services, medical assistance services, and fire fighting services in all areas of the venue by Pavilhão Atlântico, barring an express indication to the contrary in the quote.
b) Pavilhão Atlântico undertakes to remove bulky waste and rubbish (packaging material, rubble, and other) and other waste generated during stage assembling and disassembling, but quotes are not inclusive of the cost thereof, which shall be billed separately.
4. Access and working hours 
a) Access to and use of Pavilhão Atlântico areas shall take place during a set of working hours to be agreed with the Client (inclusive of access and use for purposes of stage assembling and disassembling).
b) The client shall be responsible for controlling access to rented areas by third parties, in conformance to Pavilhão Atlântico’s security regulations.
c) Controlled access is mandatory during events and shall be provided by Pavilhão Atlântico services or by the Client, subject to agreement. Should such services be provided by the Client, security control shall be supervised by staff appointed to the effect by Pavilhão Atlântico.
5. Safety regulations 
a) Pavilhão Atlântico avails a safety manual and has set up emergency evacuation plans for the various areas of the venue with which the Client is to become familiar in advance of the event.
b) Emergency exits shall remain free and unencumbered at all times.
c) The Client shall enforce the prohibition to smoke in all designated areas where such prohibition applies .
d) The Client undertakes to notify Pavilhão Atlântico in advance of any activity that is envisaged to take place in any of the areas of the venue under its management which might compromise the safety, hygiene, and comfort of the premises, spectators, or attendees.
e) In the event of doubts arising on the possible hazards which any such activities might cause while stage or event assembling proceeds, the Client undertakes to consult the applicable technical personnel of Pavilhão Atlântico.
f) The Client undertakes to strictly limit access to enclosed areas to the authorised spectator capacity of the rented venue in question, while ensuring that the safety of assets, spectators, and attendees is not put in jeopardy.
g) Pavilhão Atlântico reserves the right to evict all and any spectators, attendees, or other users of any of the areas of the venue under its management for unruly or disorderly behaviour inside the venue, or any such who might fail to comply with the instructions of its personnel.
6. Event set-up works (rental of facilities)
a) Stage assembling and disassembling for any event production shall be for the account of the Client and the respective works shall proceed under the supervision of Pavilhão Atlântico’s personnel at all times.
b) All tasks respecting to or involving electric installations and power, water, gas, and compressed air supply, and all telecommunications network installations, shall be undertaken by Pavilhão Atlântico, or any companies which it might appoint to the effect at all times, and all costs arising thereof shall be for the account of the Client.
c) The Client shall return the rented spaces to Pavilhão Atlântico on the agreed date in the same condition they were in when ceded to the Client.
d) All personnel employed on site by the Client, together with the personnel of any third-party provider it might employ for purposes of producing the vent, shall be duly accredited.
e) Any other services or the use of additional technical equipment which Pavilhão Atlântico might be called upon to supply shall be separately quoted for and billed to the Client.
7. Client responsibilities
a) The Client undertakes to conform and enforce conformance to all regulations applying to the production and hosting of the envisaged event within the rented areas of Pavilhão Atlântico, or in any areas under its management — which regulations are inclusive of municipal regulations, insurance requirements and regulations, and the Pavilhão Atlântico General Regulations — on behalf of all spectators or attendees to the event, any third-party provider it might employ to the effect, and all its personnel.
b) The Client undertakes to conform and enforce conformance to all regulations concerning waste packaging and removal, as set out by Pavilhão Atlântico.
c) The Client undertakes to get acquainted with Pavilhão Atlântico’s General Regulations, Safety Regulations and Manual, and Emergency Evacuation Procedures.
d) The Client undertakes not to infringe the rights of third parties, namely protected copyright and related rights and industrial property rights, as well as obtain all and any authorisations and licenses which might be required for purposes of producing the event.
e) The Client undertakes not to construct nor build any permanent features or improvements to the premises without the prior authority, in writing, of Pavilhão Atlântico.
f) The Client undertakes to ensure that all and any works involved in stage assembling and disassembling for any event production, if any, shall neither compromise the safety and soundness of the premises nor involve any alteration to the internal or external architectural features of the building.
g) The Client undertakes not to store, use, or permit the use of any flammable, explosive, hazardous (including gases, pesticides, and insecticides), malodorous, or radioactive materials or substances anywhere in the venue.
h) The Client shall be liable for any damages or losses arising to any third parties as a result of any negligent or faulty action by the Client, its personnel, agents, and all service providers participating in event production and their personnel, as well as for payment of any compensation due under claims for such losses or damages.
8. Infringiment

Any infringement to the provisions of these General Terms and Conditions shall constitute due cause for early termination of the venue rental agreement.
9. Insurance

a) In addition to all mandatory insurance under ruling Portuguese legislation, the Client undertakes to take Third-Party Liability Insurance valid for the entire duration of the rental period and covering personal injury and damages to premises and tangible assets caused by the actions of the Client, its personnel, agents, and subcontractors, or any other third parties it might have accredited for purposes of producing and staging the event.
b) The aforementioned insurance policy shall cover both damages to tangible assets and damages for non-economic losses which might occur in any area of the venue, including damages that might arise on transportation of goods and props through access areas, and the value of the applicable sum to be insured shall be set out by Pavilhão Atlântico for each event, on a case by case basis.
c) Subject to the nature of each particular event, Pavilhão Atlântico reserves the right to call for additional insurance, to be set on a case by case basis.
d) Pavilhão Atlântico shall not be liable for any burglary or theft of any goods or materials left in the venue by the Client, nor for any damages or losses caused by the event or arising as a result thereof.
10. Erecting billboards/advertising and promotion

a) All event advertising and promotional material to be erected or affixed inside or outside the Pavilhão Atlântico venue and/or any of the areas under its management and surrounding areas shall require the prior approval of Pavilhão Atlântico.
b) When disassembling the stage, the Client shall be liable for removing all advertising and promotional material, together with any signage it might have erected to the effect.
c) The Client undertakes to adequately refer to the various rented or used spaces in all advertising and promotional material used to promote the event, for which purpose it shall obtain appropriate titles and references from Pavilhão Atlântico.
11. Recording and distribution of image and video from the event

The recording of image and video in areas under management by Pavilhão Atlântico, and their public broadcast or publication, other than in conformance to the provisions of the applicable Portuguese legislation on public rights to information (which legislation sets out a maximum of 3 minutes of free broadcasting time for such events), shall be subject to a separate agreement to be negotiated with Pavilhão Atlântico, at all times.
12. Sponsorships

a) The Client shall take into consideration that Pavilhão Atlântico has entered into various partnership and sponsorship agreements with other entities whereby it has ceded certain rights, namely the right to exhibit advertising and promotional material in areas under management by Pavilhão Atlântico.
b) No advertising, signage, or products on show from the aforementioned brands may be removed or occulted at any time during the event under contract, barring events which are not open to the public at large, in which case Atlântico, S.A., the contracting entity, may authorise their occultation.
13. Public events (stage productions, including sports events, for a charge or free of charge)

a) Ticketing
1) The issuing of tickets for events taking place in any of the areas under management by Pavilhão Atlântico shall be exclusively for its account, for which purpose it shall issue tickets in a standard format.
2) Standard tickets allow for the inclusion of messages relating to the event in question provided such messages conform to the space and lettering features of the standard ticket issuing equipment.
3) Without prejudice to the right of the Client in selling tickets for the event, Pavilhão Atlântico reserves the right to sell such tickets directly through its own box office network, which service is included in its quotes.
b) Boxes
Box holders are entitled to entrance, free of charge, to any productions staged in Atlântico Hall.
c) Rights to a set of tickets
The Client shall cede to Pavilhão Atlântico a certain number of tickets as set out in the provisions of the General Regulations.
d) Merchandising sales:
1) The sale of related merchandising products inside any of the areas under management by Pavilhão Atlântico shall only be permissible subject to prior approval by Pavilhão Atlântico, in writing.
2) Should Pavilhão Atlântico be required to allocate personnel to such merchandising sales, the Client shall pay Pavilhão Atlântico a levy of 25% over the proceeds of such sales, which levy shall be 15% over the proceeds of such sales should Client personnel effect such sales.
3) Pavilhão Atlântico shall maintain any temporary or permanent merchandising facility that is set up inside any of the areas under its management for purposes of selling own merchandising products or any other items.
e) Bar services
1) The bar services on offer during events shall be provided by concessionary companies which have acquired exclusive rights to provide such services inside the various areas under management by Pavilhão Atlântico.
2) Some brands may have acquired exclusive selling rights for Pavilhão Atlântico event under sponsorship agreements.
